Как можно понять из вышеуказанных тем, то вариант проведения сбора в мск особо не рассматривается ввиду дороговизны для большенства данного события...

Вот приблизительный график мероприятий.
Под "свободным временем" понимается прошвырка по магазинам и покупка сувениров товарищами, которые приедут на субботу-воскресенье.
Суббота:
12:00-13:00 Обед
13:00-16:00 Экскурсия
16:00-18:00 Офф.часть
18:00-00:00 Пьянка
Воскресенье:
12:00-13:00 Обед
13:00-16:00 Свободное время
17:00-19:00 Просмотр
